Basic Policy on Information Security

GSI Inc. (hereinafter referred to as “we”) believes that it is extremely important, social responsibility to implement safe and appropriate information security measures. In addition to protecting the information assets of our company from threats such as negligence, accidents, disasters and crimes, we secure and maintain the confidentiality, safety and availability of information assets, protect our information from customers and continue our company in order to contribute to stable and continuous business management, we decide on the basic information security policy as follows.


  • We comply with laws on information security measures, related regulations separately prescribed, various public guidelines, obligations established by the regulations, and information security obligations under contract.
  • We take appropriate human, organizational and technical measures and develop and build a system to prevent unauthorized access, leakage, alteration, loss, destruction, obstruction of use, etc. of information assets, and to ensure safe and proper management and operation.
  • In order to promote safe and proper management and operation of information assets, we take reasonable information security measures from various aspects such as facilities, technology and institution, and in accordance with information handled, prevent occurrence against information security problems, we respond promptly to the emergence of problems.
  • We provide education on the importance of information security to those who use information assets and thoroughly inform about this basic policy and related regulations.
  • We establish an appropriate information security management system according to the purpose and degree of importance of information assets, publicly inform, implement and maintain the basic policy of information security and related regulations, conduct periodic audits, review the content of information security measures based on the result and work on continuous improvement.

Privacy Policy

GSI Inc. (hereinafter referred to as “we”) as an information processing service provider, recognizes the importance of personal information, ensures that all employees are fully informed based on the following, and strives for appropriate handling and protection.

  • For gathering personal information, we use and provide personal information collected by lawful and fair means only within the scope of the explicit purpose of use, clarifying purpose of use to the principal. Furthermore, we prevent use for other purposes. We respond within a reasonable period and within a reasonable range if we receive a request for personal information disclosure, correction, deletion and suspension of use from the person himself or herself or his or her agent.
  • In order to keep personal information accurate and up-to-date, and to prevent and correct troubles such as unauthorized access to personal information, loss, destruction, falsification and leakage of personal information, we implement safe and rational measures in terms of technology and organization.

  • In order to facilitate our business, we may delegate personal information to agency as necessary. In that case, we make non-disclosure agreement and the agreement of handling of personal information with outsourcing parties and periodically supervise them.
  • We implement appropriate education our employees to raise their awareness about personal information protection and encourage protection activities.
  • We do not disclose or provide personal information to any third party unless it falls under any of the following.
    • In case the person concerned himself or herself consented
    • In case requested disclosure or provision based on laws and regulations
    • In case it is necessary for the protection of human life, body, property, and it is difficult to obtain the consent of the person concerned himself or herself
    • In case it is particularly necessary for improving public health or healthy fostering of children and it is difficult to obtain consent from the person himself or herself
    • In case it is necessary for a country or local public entity to cooperate in carrying out public affairs and there is a risk of interfering with the performance of the affairs by obtaining the consent of the principal

Guide Concerning Disclosure of Personal Information

For each type of request on personal information, GSI Inc. (hereinafter referred to as “we”) accept the request by the individual who is specified by the personal information held by our company (hereinafter referred to as “the person himself”) or an agent (from a person who has been delegated from yourself, or a legal representative such as a custodian).
In addition, regarding procedures related to each request, we may change some or all of the contents without prior notice, so please check each time when the principal requests.


  • About request procedure
    1. From the person himself or his agent
      • Application form according to the request by the person himself
      • The principal’s identity confirmation documents (and the identity confirmation documents of the agency)
      • Letter of Attorney (In case of application from the agent, as proxy authority confirmation document)
      Please send these to our personal information inquiry window.
      ※ A fee is unnecessary for this procedure, but the cost of mailing each invoice to us will be borne by the person himself.
      ※ In order to avoid accidents such as loss, we recommend a method that can confirm the record of delivery such as specific record mail or simple registered mail when each invoice is mailed.
    2. We do reception at our inquiry window, and will disclose and correct information within the range that we verified you as himself of the personal information by each invoice and personal confirmation document.
    3. Based on the contents of the application, we will make a document as answer and send it by a simple registered mail handling from our company to you. In case we could not respond to the request, we will let you know so.
      ※ We bear this cost for simple registered mail.
    4. Estimated time from receipt of the request to disclosure and correction shall be within 10 business days (about 2 weeks).

  • About documents
    1. Please fill out the necessary information on the application in accordance with the requested information from the person himself or his agent, and mail it together with his identity confirmation.
    2. The personal information subject to the request will be personal information that we have authority to disclose, correct, etc. It is an objective fact included in our own personal information about the person himself (electronic information saved in the computer and information recorded in the paper medium and filed so that it can be easily searched) .
    3. When making a request, we specifically ask you “how to correct” about “what personal information” we possess. If you do not give such instructions specifically, we cannot correct it.
    4. If you do not know the personal information held by us, please request disclosure of your personal information by the disclosure request form.

  • About the confirmation of the person himself and the agent
    1. You will be required to submit a document (hereinafter referred to as “identity confirmation document”) for confirming the person himself and the proxy. When each invoice is mailed, please enclose the following identity confirmation documents below (to confirm name, address, and date of birth).
      1. In the case of the person himself requesting his own personal information (one of the following)
        • <1> Copy of driver’s license                   
        • <2> Copy of passport                   
        • <3> Copy of health insurance card                   
        • <4> Copy of pension notebook                   
        • <5> Copy of basic resident register card with photo                   
        • <6> Copy of Alien Registration Certificate                   
        • <7> Copy of handicapped person’s notebook                   
        • <8> Seal registration certificate (within 3 months from the date of publication, stamped in the margin with the seal)                   
        • <9> Copy of student ID card or student notebook
      2. In the case of an agent requesting for personal information (all of the following items (a) – (c))
        • (a) Personal identification document of (A) concerning the person himself
        • (b) Personal identification document of the above (A) concerning the agent
        • (c) “Letter of attorney” by the person himself
      3. If the subject to be requested is specific personal information
        • The identity confirmation for specific personal information will be confirmed by the person himself and the confirmation method of the agent based on the laws and the guidelines established by the government.
    2. Please submit the identity confirmation document with making information other than the issued number of the official documents such as name, address, date of birth, licenses, issue date, issuer (prefecture name, municipality name, etc.) invisible since they are unnecessary for identity verification (painting over them black, for example).
    3. We will use personal information described in each application and identity confirmation documents to the extent of necessary for each process. Please read “Type of Personal Information and Purpose of Use” about all kinds of personal information handled by our company including the personal information and purpose of use.
    4. We will not return each application and identity confirmation document you submitted. We will properly manage each application at our company and will discard the identity confirmation documents at our company after confirming the identity.
    5. In order to confirm the contents of each application and identity confirmation document, we may contact you or your agent from us.

  • About deletion of personal information, suspension of use, suspension of provision to third parties
    1. In the case of deletion, suspension of use, or suspension of provision to third parties of personal information, the service which the parson himself is currently using could be unavailable.
    2. Even if we are asked to delete personal information we holds, stop using it or stop offering it to a third party, for example, when our company possesses the client’s claim, some personal information may not be dealt.
